The Information Technology Team strives to provide and support a comprehensive system of technology devices and services so students can learn, instructors can teach, and staff and administrators can work productively.

Information Technology integration is the key to new ideas, project coordination and better service.

Office Phone

All campus office spaces have a telephone for on-campus, local, and toll-free calls. Dial 9 to get a line for off-campus calls and 9-911 for emergencies. To call campus-to-campus, use 4-digit extension number.

Long Distance Call

Long distance calling is provided for college business only. Long distance access codes are required. To request a code, talk to your supervisor. International calls can only be made from a phone set up for international calls.

Fax Services

The general FAX number for sending and receiving is 507-453-2715 in the Student Services area at the Winona Campus, 507-453-2650 in the 2nd Floor office area at the Airport Campus, and 651-385-6377 in the Student Services area at the Red Wing Campus.

Voice Mail

Each employee assigned an office is provided with a voice mailbox. Call the Help Desk at 2408 (507-453-2408) if you need assistance in setting up your voice mailbox.

Audio Conferencing

The campus telephone system can support audio conferencing for up to three lines. Four or more lines need to be set up by the state (Office of Enterprise Technology).

Maintaining Security of Accounts, Data, and Network

For any computer account, you are responsible for the use made of your account. All accounts are protected from unauthorized access by the use of a password. You are responsible for guarding against unauthorized use of your account. If you discover that someone has made unauthorized use of your account, you should immediately report the intrusion to the Information Technology Department. Guidelines for securing your account:

  • Do not write your password anywhere.
  • Do not tell your password to anyone else.
  • Do not lend your account to anyone.
  • Log out of your workstation when you leave, even if it's only for a few minutes.
  • Do not run Java or ActiveX applications when browsing the web unless the source is trustworthy. ActiveX is particularly dangerous because it allows complete access to all your files and system resources. If in doubt, call the Help Desk at 2408.

Password Security

Passwords keep accounts secure. Information Technology has implemented reasonable precautions to make it more difficult for others to break into the system:

  • You must change your passwords at least once every 60 days.
  • Passwords must be eight characters or longer.
  • Passwords must meet complexity requirement by containing three of the following four categories
    1. Upper case English letters
    2. Lower case English letters
    3. Base 10 digits (0 through 9)
    4. Non-alphabetic characters (for example: ! $ # %)
  • Do not reuse same password for at least one year.

Tips for Creating a Secure Password

  • Mix upper and lower case letters with numbers & non-alphabetical characters.
  • Use the first letter of every word in a phrase or a song lyric.
  • Use common words misspelled in an unusual way (i.e. spelling meow as me8owz).
  • Do not use your name (last, first, or middle) in any form.
  • Do not use your spouse's, parents', or child's name in any form.
  • Do not use your login name in any form (e.g. as is, reversed, capitalized, doubled, etc.)
  • Do not use other information easily obtained about you, including license plate numbers, telephone numbers, the make of your car, the name of the street you live on, etc.
  • Do not use a word found in any dictionary (i.e. English, foreign language, spelling lists, technical).

Account Lock-out

If an incorrect password is entered three times, your account will be locked out and you will not be able to log in for 15 minutes.

Information Technology cannot protect your account without your help. You must take an active role to protect your password from others. If you have knowledge that any password or account has been compromised, contact the Information Technology Department immediately.

File Storage

Individual
Each user is provided a network folder on a file server for storing files; commonly called the I drive. This is a backed-up drive.
Group
Institutional, departmental or other group file storage is provided on the file server; commonly called the G drive. This is a backed-up drive.
Archival
If files need to be kept but don’t need to be readily available, they should be copied to CD-ROM and stored in the office.

Printing

Printing is provided through shared network laser printers located in computer classrooms, computer-equipped labs, and office areas.

E-mail

All employees are provided with an e-mail account. It is recommended to check your e-mail account often as this is the official means of communication with the College.

Remember to delete your SENT mail and EMPTY DELETED ITEMS as often as possible.

Wireless Networking

Wireless network services are available in various regions of the campuses for authorized personnel and equipment.

Installed Equipment

Most classrooms have video playback capabilities and an overhead projector or document camera installed as standard equipment. Projector bulbs are expensive to replace; please remember to turn off the projector when you are finished with it.

Student Use

Students are allowed to use the services provided to support their coursework or Student Life activities. The instructor or advisor must approve student use.

A variety of technology training and workshops may be offered for all employees. Suggested topics are always welcome. See the Information Technology website for the monthly schedule. Please register for classes through the Help Desk.
